Gleans ("we", "us", "our") is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, store, and share your personal data when you use the Gleans platform, website (gleans.io), and related services (collectively, the "Service").

We are registered in the United Kingdom. Our registered address is 69 Norwood Avenue, Romford, United Kingdom, RM7 0QL. For data protection purposes, we are the data controller.

By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Service.

1. Information We Collect

1.1 Information You Provide

Account information: When you create an account, we collect your name, email address, and password. If you subscribe to a paid plan, we collect billing information (processed securely by our third-party payment processor. We do not store full payment card details on our servers).

Listing data: Property names, locations, base rates, minimum stays, pricing rules, group configurations, and other settings you enter into the Service.

Communications: When you contact us at support@gleans.io or through any in-app messaging, we collect the content of those communications.

1.2 Information Collected Automatically

Usage data: We collect information about how you interact with the Service, including pages visited, features used, actions taken, timestamps, and session duration.

Device and log data: We collect your IP address, browser type and version, operating system, device type, and referring URLs.

Cookies and similar technologies: We use essential cookies to keep you signed in and remember your preferences. We may also use analytics cookies to understand how the Service is used. See Section 7 for more detail.

1.3 Information from Third Parties

Channel and PMS data: When you connect Gleans to third-party platforms such as Airbnb, Vrbo, Booking.com, Guesty, Hostaway, or Lodgify, we receive listing data, booking data, calendar availability, and rate information from those platforms via their APIs. This data is used solely to provide the Service.

2. How We Use Your Information

(a) To provide the Service: generating pricing recommendations, applying rates, syncing with connected channels, and displaying analytics and reports.

(b) To manage your account: processing subscriptions, billing, and responding to support requests.

(c) To improve the Service: analysing usage patterns, identifying bugs, and developing new features.

(d) To communicate with you: sending transactional emails and, where you have opted in, marketing communications about product updates.

(e) To ensure security: detecting and preventing fraud, abuse, and unauthorised access.

(f) To comply with legal obligations: responding to lawful requests from regulators, courts, or law enforcement.

3. Legal Basis for Processing (GDPR)

If you are located in the United Kingdom or European Economic Area, we process your personal data on the following legal bases:

(a) Performance of a contract: processing necessary to provide the Service under our Terms of Service.

(b) Connected platforms: When you connect Gleans to a channel or PMS, we exchange data with that platform as necessary to sync rates and bookings.

(c) Legal requirements: We may disclose your information if required by law, regulation, legal process, or enforceable governmental request.

(d) Business transfers: If Gleans is involved in a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.

(e) With your consent: We may share your information for purposes not described here if you give us explicit consent.

5. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Service. If you cancel your account, we will retain your data for up to 30 days to allow for data export. After 30 days, we will permanently delete your personal data from our active systems, except where retention is required by law (e.g. billing records for tax purposes, typically up to 7 years).

Anonymised and aggregated data that cannot identify you may be retained indefinitely for analytics and service improvement purposes.

6. Your Rights

Under the UK GDPR and applicable data protection laws, you have the following rights:

(a) Right of access: You may request a copy of the personal data we hold about you.

(b) Right to rectification: You may request that we correct inaccurate or incomplete data.

(c) Right to erasure: You may request that we delete your personal data, subject to legal retention obligations.

Essential cookies: Required for the Service to function (session authentication, security tokens). These cannot be disabled.

Analytics cookies: Help us understand how users interact with the Service. You may opt out through your browser settings or the analytics service's opt-out mechanism.

We do not use advertising or tracking cookies.

8. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including encryption in transit (TLS/SSL), access controls, regular security reviews, and secure data storage practices.

However, no method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee its absolute security.

Your data may be processed and stored on servers located outside the United Kingdom. Where we transfer data to countries without adequate data protection, we ensure appropriate safeguards such as standard contractual clauses are in place.

We may update this Privacy Policy from time to time. We will notify you of any material changes by email or in-app notification at least 30 days before the changes take effect. Your continued use of the Service after the updated policy takes effect constitutes your acceptance.
